Card Machine Costs: Purchase, Rental and Monthly Charges

Compare the equipment agreement and the payment tariff together, over the period you expect to use them.

The short answer

A card machine can involve an upfront purchase, rental, a subscription or a bundled agreement. Add processing, connectivity, support and any end-of-contract charges before comparing options. Buying hardware does not automatically mean it can be used with a different payment provider.

Choose the type of device before comparing prices

Start with how customers pay. A fixed counter may need a countertop terminal. Table service may need a portable device with coverage throughout the premises. A mobile trader may need a reader paired with a phone or a standalone terminal with mobile connectivity.

List the required receipt method, battery life, network connection and connection to your till. Ask for confirmation that the specific device supports your workflow. “Portable” does not by itself tell you whether a terminal works away from the business’s Wi-Fi.

Price the whole installation. Charging docks, receipt printers, additional terminals, compatible phones or tablets and network changes can all sit outside the headline hardware offer.

Supplier pricing pages show different package structures. Elavon publishes equipment and payment options, while Square separates hardware and processing information. These are sources to check, not a recommendation that either model suits every business.

Worked example: buying versus renting

Fictional hardware-only example

Compare a £300 purchase with rental of £20 a month for 24 months. Assume identical processing charges, no installation costs and no additional repair or support costs.

Purchase cost
£300
Rental: £20 × 24 months
£480
Rental costs more over this period
£180

Cumulative rental reaches the purchase price at month 15. That is a hardware comparison only. If rental includes a service you would otherwise pay for, value that separately before deciding.

Now consider different processing terms. A 0.2 percentage-point reduction on £20,000 monthly card sales is £40 a month, before any other changes. That can outweigh the hardware difference. Compare the complete packages rather than choosing the device on sticker price alone.

Check the agreement behind the machine

  • Who owns the equipment during and after the agreement?
  • Is there a separate finance or rental company?
  • Do equipment and processing commitments end on the same date?
  • What happens if the device fails, and how quickly is it replaced?
  • Is mobile data included, restricted or charged separately?
  • Can you change processor without replacing the hardware?
  • What must be returned, by when and using which method?

Ask for the cancellation and return process in writing. Do not assume a processing cancellation also closes a separate terminal agreement.

Build a complete equipment comparison

Enter purchased equipment and installation as future one-off costs. Enter rental and ongoing support as monthly charges. Include all required devices, not only the first terminal in an advertised package.

If existing equipment is already paid for and can continue working, its historical purchase price is not a new switching cost. Include only relevant future spending. For a financed device, confirm the settlement or remaining payments rather than treating it as owned outright.

Use the same comparison period for both options. The calculator can show fixed commitments beyond that period separately, helping you see a remaining obligation even where the short-term total looks attractive.

Budget for accessories, durability and replacement

Ask for a complete device schedule: the main terminal, additional terminals, charging docks, spare chargers, receipt printers and compatible phones or tablets where required. Include consumables and a replacement plan where they create real future costs.

For outdoor, industrial or busy mobile use, specify the operating conditions and ask whether a protective case or ruggedised model is needed. Confirm the warranty and damage exclusions instead of assuming a higher hardware price includes every repair.

Separate the terminal’s data plan from the wider business network. The SIM and connectivity guide explains that budget, while the support guide helps compare replacement cover. Include each item once in the complete ownership cost.

Common questions

Is a card machine with no monthly fee free?

No monthly fee describes one part of the tariff. Hardware purchases, processing charges and optional services may still apply.

Can I keep my old terminal when switching?

Only if ownership, software and processor compatibility allow it. Get written confirmation from the relevant suppliers before relying on it in your comparison.
