Countertop vs Portable vs Mobile Card Machines

Choose a card machine around where customers pay, then compare rental, connectivity, processing and the equipment your business actually needs.

The short answer

A countertop machine suits a fixed payment point, a portable machine can move around a venue, and a mobile machine can use a cellular connection away from the premises. Modern devices can combine these functions. Check the exact connections, battery and software before paying extra for a label that may not describe a meaningful difference.

Start with where you need to take payment

Names are broad descriptions. A single model may support both Wi-Fi and mobile data.
TypeTypical useCheck before choosing
CountertopA fixed till or reception point.Power, wired or wireless connection and whether it can be moved when needed.
PortableTaking the machine to tables or around a shop.Battery life, charging arrangements and coverage inside the venue.
MobileWorking at customers’ premises, events or changing locations.Supported mobile networks, SIM charges and coverage where you trade.

takepayments describes these three working patterns in its machine range. Its portable offering uses Wi-Fi and a rechargeable battery; its mobile description includes a SIM connection. Treat that as a product example, not a rule that every portable or mobile device works identically.

Check the location, the queue and the fallback

  • Walk through the actual selling area, including terraces, upstairs rooms and temporary pitches.
  • Ask how long the battery lasts in normal use and whether charging interrupts service.
  • Confirm which networks a SIM can use, whether switching is automatic and what the data subscription includes.
  • Check receipt printing, accepted payment methods and compatibility with your till.
  • Establish the approved process if the connection fails, including any conditions on offline payments.

A mobile connection is useful only where there is usable signal. Wi-Fi coverage and internet access are also separate issues: a strong local signal does not prove that broadband is working. Avoid assuming that a second connection removes every possible outage.

Worked example: compare the complete monthly bill

Fictional offers. Assume £20,000 of eligible monthly card sales at the same 1.1% processing rate. There are no setup fees, fixed transaction fees or additional costs beyond those shown.

The countertop and portable offers use an existing connection; its common cost is excluded consistently.
CostCountertopPortableMobile
Monthly processing£220£220£220
Monthly rental£12£18£24
Additional monthly SIM£0£0£5
Monthly total£232£238£249
Twelve-month total£2,784£2,856£2,988

Portable costs £72 more annually than countertop. Mobile costs £204 more annually than countertop. These are costs to justify through the required working pattern, not proof that the cheapest machine is suitable.

If your processing offers also differ, calculate that difference before comparing the rental. Include additional devices where one terminal cannot serve the required number of customers.

Check rental and connectivity commitments separately

Request the device model, replacement terms, rental period, SIM price and cancellation conditions in writing. Ask whether a quoted monthly amount includes connectivity or whether a separate charge appears later. Check whether moving premises or stopping seasonal trading changes the commitment.

Buying a machine can create a different first-year cost from renting it. Use our card machine cost guide for that comparison and the exit-cost guide before assuming a rental can be stopped immediately.

Choose the smallest reliable setup

For a fixed counter, start with the functions needed at that counter. For table service, demonstrate a payment in the farthest service area. For mobile work, test the equipment at representative locations and establish a fallback for weak coverage.

Enter processing, rental and any additional connection charge in the calculator using the same sales profile. Keep an existing broadband cost consistent across offers. If a compatible phone may meet the need, compare Tap to Pay with a separate machine as another practical option.

Common questions

Is a portable machine always different from a mobile machine?

No. Suppliers use the terms differently and some devices combine Wi-Fi, mobile data and battery operation. Compare the exact model and service rather than the category name.

Does a mobile card machine work everywhere?

No. It needs a supported, usable connection unless an approved offline feature applies. Check coverage, provider conditions and the practical fallback at your selling locations.
