Card Payment and EPOS Costs for Multiple Sites
Compare group-wide payment costs while keeping per-location software, device charges, card mix and rollout costs visible.
The short answer
A multi-site comparison needs a location-by-location baseline and a group total. Volume discounts can be outweighed by per-site subscriptions, extra devices or rollout costs. Align the specification, reporting requirements and contract dates before choosing a group arrangement.
Need an audit across the whole business?
Our EPOS cost audit for finance directors brings group spending, contract commitments and supplier options into one agreed scope, with transition costs and evidence gaps visible. Discuss the estate, renewal timetable and decision your finance team needs to make.

Build a reliable baseline for each location
Record card sales, transaction count, card mix, channels, devices and recurring charges by site. Identify shared services billed centrally so they are included once. Check whether each branch uses the same tariff and which agreements renew at different times.
Square’s location documentation describes organising multiple locations, and its stock-transfer documentation shows that specific capabilities can depend on the selected plan. Confirm the reporting, access and inventory functions required for your own group.
A shared brand does not necessarily mean every legal entity can use one merchant arrangement. Ask the provider to confirm the account and settlement structure.
A group saving with rollout costs included
Fictional three-site group. Each location takes £20,000 monthly. Current pricing is 1.4% plus £50 fixed per site. The alternative is 1.1% plus £80 fixed per site and a £60 central subscription.
| Group cost | Current | Alternative |
|---|---|---|
| Processing on £60,000 | £840 | £660 |
| Site fixed charges | £150 | £240 |
| Central subscription | £0 | £60 |
| Monthly total | £990 | £960 |
The group saves only £30 monthly, despite the percentage reduction. With £900 rollout cost, it is £540 more expensive in year one and reaches break-even after 30 months under unchanged assumptions.
Define what should be standard and what can vary
- Specify device numbers and workflows for each site rather than cloning the busiest branch.
- Confirm central reporting, local permissions and how refunds are authorised.
- Check stock, menu or price changes across locations where needed.
- Identify which charges apply per business, site, terminal, licence or user.
- Ask how opening, closing or moving a location changes the agreement.
Price optional functions separately. A feature needed by one venue should not silently become a charge at every branch unless that is the agreed package.
Model the transition site by site
Build a schedule around existing contract dates and operational availability. Include installation, staff training, data preparation, device returns and overlap. Avoid treating a staggered rollout as though all sites save from the first month.
Test a representative pilot location using ordinary sales, refunds and reconciliation. Confirm support responsibilities before expanding. A pilot demonstrates the selected configuration; it does not automatically prove every branch’s network or workflow will behave identically.
Keep any promised price review or future volume discount outside the main calculation until the terms and eligibility are confirmed.
Use both group and location comparisons
Run individual locations where rates or trading patterns differ. A combined calculator scenario is useful only when the inputs accurately represent the whole group and shared fixed costs are counted once. Keep rollout timing in a separate schedule.
Read the quotation comparison guide and the EPOS cost guide. Compare full commitments as well as the first year, including charges that continue beyond the initial reporting period.
Common questions
Can I multiply one branch’s saving by every location?
Only if the trading profile, tariff, equipment and fixed charges are truly equivalent. Build the baseline for each site first.
Does a group discount guarantee a lower total bill?
No. Extra per-site charges, central subscriptions and rollout costs can absorb the reduction in processing rates.
