Epos Now Costs: Hardware, Software and Payments
Look beyond an Epos Now bundle price and calculate the subscription, payment processing, add-ons and setup costs for your business.
The short answer
An Epos Now hardware promotion is a starting point for a quotation, not the total cost of running the system. Check the subscription condition attached to the bundle, the payment agreement and every additional device or integration you need.

Read the condition beside the advertised bundle
Epos Now’s UK page advertises a bundle from £299. Its footnote links the discounted Complete Solution price to a 12-month payments, care and support subscription starting at £54 monthly. The page also identifies separately priced extras. These are advertised starting figures, not a complete quotation for your premises.
Ask for the precise hardware, software licence, payment service and support included in your offer. Confirm VAT, delivery, installation, finance terms if relevant and any eligibility condition. Do not add headline prices from unrelated packages and assume they form an available deal.
Build the complete EPOS budget
| Cost group | Questions to put in the quotation |
|---|---|
| Hardware | Which till, payment devices, printers, drawers and screens are included? |
| Subscriptions | What is charged per till, site or month, and when can it change? |
| Payments | Which card rates, transaction charges and minimums apply? |
| Integrations | Are accounting, delivery, ecommerce or kitchen connections separately charged? |
| Implementation | Who handles data, menu or stock import, training and installation? |
If a service is included in a bundle, do not count it a second time. If a feature is demonstrated but omitted from the price schedule, ask for it to be added before comparing.
A complete-system budget example
Fictional EPOS proposal, not Epos Now pricing. Assume £400 upfront equipment, £60 monthly software and support, £20 monthly integrations and £250 monthly payment processing, with no other costs or price changes.
Monthly running cost is £330. First-year cost is £4,360: £400 + 12 × £330. The same assumptions give £12,280 over 36 months. These are budgeting horizons, not an assertion about a provider’s minimum term.
If another proposal saves £15 monthly but requires £700 more upfront, it takes approximately 47 full months for that running-cost saving to recover the difference. The lower subscription alone would not make it cheaper in the first three years.
Test the system against your own working day
For retail, demonstrate a return, stock adjustment, barcode sale and end-of-day report. For hospitality, demonstrate modifiers, table transfers, split payments and kitchen routing. Ask the supplier to show your required workflow rather than relying on a general product tour.
Confirm which functions depend on integrations, internet access or a particular payment service. Request the support hours, response arrangements and replacement-device process included in your selected plan. These details can influence the cost of a busy-day problem.
If you already have a functioning till, read whether you can keep your EPOS when changing payments before budgeting for complete replacement.
Compare the final specification
Line up competing offers against the same number of tills, locations, payment terminals and required features. Separate recurring charges from upfront costs, and record the commitment and notice period for each agreement.
For restaurant buyers, use Epos Now versus Lightspeed as a demonstration and quotation checklist. The calculator can compare the resulting totals; it does not determine whether an untested feature will work for your business.
Common questions
Is the advertised bundle price the whole first-year cost?
No. Include the subscription conditions attached to your offer, payment processing and any other required equipment or services.
Should I compare only the monthly software charge?
No. Use the same specification and include upfront costs, payments, integrations, training and the period you expect to use the system.

Business profiles are fictional. Examples either use the explicitly identified published tariff or clearly labelled hypothetical prices. They are not customer results, market averages or personalised provider quotations. Unless stated otherwise, they use a consistent VAT basis and include only the costs listed. Provider prices, eligibility and terms can change. Check your written agreement before deciding.
Our guides explain costs and comparison methods. They do not rank the whole market or claim hands-on product testing. Source links are references, not a claim of partnership. Read the calculation method and limitations, or about the service.
